Payment and Refund Policy

Last updated: 15/10/2026

Scope of the Policy

This Payment and Refund Policy applies to all services provided by newsflowup through our website. Our business centres on professional video operation, live signal management, content distribution, camera work and the creation of reliable high-quality feeds for news programmes and television broadcasting. The policy covers paid courses, subscription-based access to media feeds, one-off signal management services and related digital content. It governs transactions made by customers located in the United Kingdom and explains how payments are processed, when contracts are formed and under what circumstances refunds may be issued. The policy does not cover free trial periods or promotional content unless explicitly stated in the offer terms.

Prices, Currencies, Taxes and Additional Charges

All prices displayed on the website are in British Pounds Sterling (GBP) unless otherwise indicated. Prices include value added tax (VAT) at the prevailing UK rate where applicable. Additional charges may arise for custom camera configurations, extended live signal management beyond the purchased duration, or expedited content distribution. These extras are quoted separately before payment is authorised. Currency conversion fees charged by your card issuer or bank remain your responsibility and are not included in our pricing. We reserve the right to adjust prices to reflect changes in tax legislation or supplier costs, but any increase will not affect orders already confirmed.

Accepted Payment Methods, Authorisation and Security

We accept major credit and debit cards, bank transfers and selected digital wallets. Payment is processed through secure third-party gateways that comply with PCI DSS standards. When you submit payment details an authorisation hold is placed on your account for the full amount. This hold is converted to a completed transaction once the order is confirmed. We do not store card numbers on our servers. All sensitive data is encrypted in transit and at rest by our payment partners. If authorisation fails you will be notified immediately and the order will not proceed.

Order Confirmation and Contract Formation

A contract is formed only when we send you a written confirmation email acknowledging receipt of payment and detailing the services purchased. Until that point no binding agreement exists. The confirmation email contains your order reference, service start date, duration and any applicable cancellation rights. You should retain this email for your records. If we cannot fulfil the order due to technical unavailability we will notify you within two working days and refund any sums paid in full.

Cancellation Rights and Applicable Periods

Under the Consumer Contracts Regulations 2013 you have the right to cancel most distance contracts within fourteen calendar days of the confirmation email. For digital content and live media feed services the cancellation period begins once the content is made available to you. If you request immediate access you expressly agree to waive the fourteen-day cancellation right for that portion of the service. Cancellation requests must be submitted in writing to [email protected] and include your order reference. Services already substantially performed at the time of cancellation may be charged on a pro-rata basis.

Refund Eligibility, Exclusions and Non-Refundable Items

Refunds are available where cancellation occurs within the statutory period, where services are defective or where we fail to deliver as described. Non-refundable items include custom camera work already completed, live broadcasts that have aired, and any promotional or discounted packages clearly marked as final sale. Digital downloads or completed signal management sessions cannot be returned once accessed. We do not refund for change of mind after the cancellation window or for failure to meet technical requirements on your side such as inadequate bandwidth.

Step-by-Step Procedure to Request a Refund

To request a refund email [email protected] with the subject line “Refund Request” followed by your order reference. Include your full name, contact telephone number, the reason for the request and any supporting evidence such as screenshots of technical faults. Requests are acknowledged within three working days. You may also telephone +44 20 3104 0000 during business hours for assistance completing the form. Incomplete requests will be returned for additional information.

Inspection, Approval, Rejection and Notification

Our team reviews each request within ten working days. We assess whether the claim falls within policy criteria, verify delivery status and examine any technical logs. You will receive a written decision by email stating approval, partial approval or rejection with reasons. If approved, a refund reference number is provided. Rejected applications may be appealed once with additional evidence within fourteen days of the decision notice.

Refund Method, Processing Time and Receipt of Funds

Approved refunds are issued to the original payment method. Credit and debit card refunds typically appear on your statement within five to ten working days, though some issuers may take longer. Bank transfers are processed within seven working days. We notify you once the refund has been initiated. If funds do not appear within the expected window please contact [email protected] with your refund reference so we can trace the transaction with our payment provider.

Special Rules for Digital Content, Subscriptions and Promotional Offers

Digital media feeds and subscription access are treated as digital content under UK law. Once you begin streaming or downloading material the right to cancel is lost unless the content is faulty. Subscriptions renew automatically unless cancelled at least seven days before the renewal date. Promotional offers are subject to their own terms; refunds on promotional purchases are limited to the amount actually paid and exclude the value of any free bonus content already consumed.

Failed Payments, Duplicate Charges, Chargebacks and Suspected Fraud

If a payment fails we will attempt to contact you using the details on file. Orders with failed payments are not fulfilled. Duplicate charges detected by our system are automatically investigated and refunded within five working days. Chargebacks are treated as disputes and may result in temporary suspension of your account pending resolution. We report suspected fraudulent activity to the appropriate authorities and cooperate fully with investigations while protecting legitimate customer data under UK GDPR and the Data Protection Act 2018.

Mandatory Consumer Rights That Cannot Be Excluded

Nothing in this policy affects your statutory rights under the Consumer Rights Act 2015, the Consumer Contracts Regulations 2013 or UK GDPR. You remain entitled to services of satisfactory quality, as described and fit for purpose. Any attempt to limit these rights is void. If you are a consumer based in the United Kingdom you may also rely on the services of the Citizens Advice consumer service or the courts of England and Wales.
